Privacy policy
Plain-English summary: we collect as little as we can, your calculator inputs stay in your browser unless you save them, and you can ask us to delete your data.
Who we are
Prison Officer Pay ("we", "us") runs prisonofficerpay.co.uk. We are the controller of the personal data described here. Contact us at hello@prisonofficerpay.co.uk or via the contact form.
What we collect and why
- Newsletter and email alerts. Your email address, an optional first name, the topics you choose (or, if you sign up on a page, that page's topic), the type of reader you tell us you are (for example serving officer or candidate), the form and page you signed up on, and a private code for the "choose your topics" link in our emails. We use it to send the updates you asked for, on the topics you picked. Basis: your consent. You can change your topics from the link in any email, and unsubscribe at any time on our unsubscribe page or by emailing us.
- Contact form. Your name (optional), email, topic, message and the page you came from, so we can reply and fix problems. Basis: our legitimate interest in answering you.
- Accounts. If you create an account: your email, optional name and sign-in details handled by Firebase Authentication. You never need an account to buy.
- Purchases. Payments are taken by Stripe. We receive confirmation of what you bought and the email used at checkout; we never see or store your card number. Basis: performing the contract and legal record-keeping.
- Saved reports. If you choose to save a report to your account, the figures in that report are stored with your account so you can come back to them.
- AI features. If you use an AI question box in a tool, your question and the figures shown in that tool are sent to an AI provider (currently Google's Gemini service) to produce the answer. Please do not type information that identifies you or anyone else.
- Analytics. Page views and interactions, via Google Analytics 4. Without your consent we only receive cookieless, non-identifying pings; with your consent, analytics cookies are set. Basis: your consent.
What we do not do
We do not sell your data, we do not use your email for anything you have not agreed to, and calculator inputs stay in your browser unless you choose to save a report or ask the AI.
Who receives data
Service providers who process data for us: Google (Firebase hosting, authentication and database, Google Analytics, Gemini), Stripe (payments), and the email and messaging tools we use to receive contact messages and send newsletters. They act on our instructions or under their own legal terms. Some of these providers process data outside the UK under appropriate safeguards.
Email service provider. Our mailing list is kept in our own database (Google Firebase). We plan to use Kit (kit.com, formerly ConvertKit) as our email service provider to send the newsletter. When we switch it on, the newsletter details listed above (email, optional first name, chosen topics stored as tags, the form and page you signed up on, and your preferences-link code) will be copied to Kit, which will store them and send our update emails on our behalf. Until then, nothing is sent to Kit. We will update this page when that changes.
How long we keep it
We keep data only as long as we need it for the purpose above or to meet legal obligations (for example payment records). Newsletter data is kept while you are subscribed. When you unsubscribe we keep your sign-up record marked as unsubscribed, so we do not email you again by mistake; ask us and we will delete it completely. You can ask us to delete your account and saved reports at any time.
Your rights
Under UK GDPR you can ask to access, correct, delete or restrict your data, object to processing, withdraw consent and request a copy in a portable format. Email us and we will respond within one month. If you are unhappy you can complain to the Information Commissioner's Office at ico.org.uk.
Cookies and local storage
See our cookie policy for what is stored and how to change your choice.
Children
The site is aimed at adults. We do not knowingly collect data from under-13s.
Changes
If we change this policy we will update the date above and, for material changes, tell newsletter subscribers.
